The “Detail”
A Dedicated Consultant and a Comprehensive Referral Marketing Plan
Marketing your practice requires both traditional relationship-building as well as online strategies. Your consultant, assigned specifically to you, will design a consulting program that has the right mix of in-office, web and social media marketing for your practice. We train you and your team to turn your practice into a marketing powerhouse. We give you the strategies—along with the scripting and the marketing collateral—to gain more referrals, grow your practice and increase your income. As our marketing client, you receive a wide variety of powerful strategies, tools and creative collateral that will strengthen current referral relationships and win over new referral sources.
Weekly Consulting Sessions
Your consultant will be working directly with your practice every week to develop and support your program. Your dedicated expert will work with your Marketing Coordinator to deliver detailed and specific guidance to carry out the program, while keeping you fully informed on the Marketing Coordinator’s progress and the status of program implementation.
Marketing Coordinator Training Manual
Your Marketing Coordinator will receive full documentation on their job requirements with clear guidance for being successful in their role as your “Practice Ambassador”.
The New Referring Doctor Success Module™
Every two weeks, we provide you with a “ready-to-deliver” packet of tools, scripts and checklists for your Marketing Coordinator to send to each of your most important business relationships. The content of these packets is designed to dramatically upgrade the key business systems of your referring doctors including: Scheduling, Reactivating Patients, Managing Overhead and Expenses, Internal Marketing, Team Development, Customer Service, The New Patient Experience and Case Acceptance. These have been designed by Levin Group as easy-to-understand-and-implement, high value strategies that have been proven effective in practices throughout the country. You will be sending an “upgrade-in-a-box” to every referring practice, for one of their key business systems, every two weeks as a gift from you. They will look forward to receiving this valuable information from you every two weeks!
Expert Professional Graphics and Writing
For the marketing strategies that require graphic design and writing, your consultant will direct our creative team to generate high-quality, professional marketing collateral that will reflect your practice and powerfully represent it to your referring practices.
The OMS Referral Accelerator Program has 8 steps.
FIRST – we analyze the data. Referral Marketing is a science. As such we need to examine and understand the last three years of practice financial numbers, referral activity and referral strategies – the Key Performance Indicators that reflect your “referral marketing health.”
SECOND – we have a one-hour interview with the Doctor and Marketing Coordinator (if you have one). Referral Marketing is managed by people, not machines. We need to understand what’s been done and in what combination and order. What is the level of marketing momentum? Does the practice have innovative and effective referral marketing strategies?
THIRD – we go to work. Referral Marketing requires that you cover every base. Levin Group designs your marketing strategies for every category critical to success. Some focus on education. Some focus on relationship-building. Some focus on general outreach and communication. Some focus on branding and messaging. Some focus on providing value for referring doctors. Some focus on motivating the referring doctor’s team. They all focus on increasing your referrals!
FOURTH – we create an annual marketing calendar that becomes the guide book of what is to be done in the marketing plan. It can be changed or modified, but it’s how we know if we are implementing the right strategies at the right time. It’s the plan. Without an annual marketing calendar most referral marketing programs will flame out and fail.
FIFTH – we directly train the Marketing Coordinator to implement the specific strategies that are on the marketing calendar. We will guide the marketing coordinator every step of the way as she becomes fully trained in the OMS Referral Accelerator Program and increases her expertise in referral marketing. She will become your long term expert. We train the marketing coordinator to become a true liaison and relationship coordinator between the practices.
SIXTH – we teach your team 5 Star Customer Service. It includes powerful content from companies like Disney, Nordstrom and Ritz-Carlton. They are the best and you want to be the best. WHY? Because it will increase your referrals.
SEVENTH – we track regularly to determine progress and results. We believe data is the only truth and the only way to really understand the impact your program. Key Performance Indicators are essential to know what is working and what is not working and what to change. What gets measured, gets done.
EIGHTH – we speak to the doctor monthly to review Key Marketing Performance Indicators and provide updates on the progress of the Referral Accelerator Program. This is also a time to answer doctor questions and engage in feedback. We do this because WE CARE.
Can you handle all this? Is it too much?
If all this sounds overwhelming, don’t worry, it’s not. We will guide you every step of the way. You will have a consultant that will work with your marketing coordinator. If you don’t have one, no problem, we will advise you how to hire one and put one in place part time, and then guide them through the program. We will measure progress, implementation and results.
